How to enable the approval process? 


The following guide follows through the steps of enabling the approval process when creating the annotation rule. 


1. Create an annotation rule 


2. Tick the checkbox “Store annotation history” 

 

3. Tick the checkbox “Enable approval process” 

 

4. Add users or user groups that need to approve of the annotations for the rule

 

5. Set the number of approvals needed. If there are four users having to approve annotations, then the number of required approvals should be set to four 


6. Select the mode of the annotation request (see above the detailed differences between the two modes) 

  1. One request is allowed per user per data row/sheet 
  • Multiple requests are allowed per data row/sheet 
  • But users can only see and overwrite their own requests

  • Only one request is allowed per data row/sheet 
  • But users can see and overwrite other users’ requests as well 

 


7. (Optional) Create a notification binding to be notified when an annotation request is made/approved/denied


8. Complete the new annotation rule and click on “Create Annotation Rule” 

  

How to approve annotations? 

 

Previously it was established how annotation approvals are enabled. This guide covers how annotation requests are being made and how they can be approved. (Ticketing system) 

 

1. When the Dashboard author saves an annotation in the Extension, the data point on the Tableau Dashboard will not change yet. A request about the annotation is sent out automatically 

 

2. After the request about the annotation is sent out, a notification about the request automatically appears in the Web UI 

 

3. Navigate to the UI and click on Approve Annotations 


4. The new request will appear as pending 

 

Note: You will only see the request when you were previously selected amongst the annotation approvers 

 

5. To check the details of the annotation (what is being annotated and by whom) click on Details 


 

6. If the annotation is acceptable, click on Approve annotation request 


7. In case the annotation must be declined click on Reject annotation request 

8. After an annotation request is approved, the annotation is automatically executed and as a result the value of the data point changes 

 

 

If the value of the data point does not refresh automatically, the Data Source (where the annotation rule is stored) needs to be refreshed. This can be done in the following way: 

 

1. Navigate to the Tableau Dashboard 


2. Click on Data 


 


3. Select the Database where your annotation is stored  


4. Click on Refresh
